Every system collects duplicates. TeamsOffice finds them.

Here is something most software won't tell you. However good the design, somebody eventually types a record in twice — and from then on half the history is filed against a record nobody opens. TeamsOffice can't stop a person creating a second record. What it can do is find them, and tell you which one to keep.

It looks for itself

One click scans every record of a kind — people, organisations, addresses, documents, projects, resources, venues — for pairs that look like the same real thing. It reads through spelling, punctuation, word order and company forms, so Ltd meets Limited and HSBC meets HSBC Bank plc.

The things that can't both be true

Two records claiming one email address have only two explanations, and the scan flags the pair without presuming which: the same client entered twice, or one record simply wrong. The second is the one worth catching. A duplicate gets noticed eventually; a wrong address never does — no error, no warning, just mail going to someone who isn't your client.

It tells you which to keep

Finding the pair is the easy half. Each record is shown with how much is linked to it — the matters, documents and people that would move — plus who created it and when. That answer needs to know the relationships, which is precisely what a connected graph knows and a list of rows does not.

The cause nobody mentions

Many duplicates aren't carelessness. Someone searched, found nothing because their permissions hid the record that already existed, and entered it again in good faith. Both people were right. TeamsOffice flags those pairs specifically — so you can fix the access as well as the data.

Merge puts them back together

When two records really are one thing, merge moves every link — matters, documents, people — onto the record you keep, fills in blanks it was missing, and archives the other. It never overwrites a value you already had, and nothing is destroyed, so a merge you regret is undone by restoring the record.

Better still: it stops you making them

Start typing a client who already exists and TeamsOffice says so before you save — with a link straight to the record, so you open it instead of building a second one. Same for addresses, and for a document already filed on that matter, where the right answer is usually a new version rather than a new record. It never blocks you: two people really can share a name, and you always have the last word.

What we don't claim

That duplicates are impossible here. They aren't, in any system, and anyone who tells you otherwise is selling. What is impossible in TeamsOffice is the other kind of mess: nothing is ever copied, so one fact has one home and an update can never leave a stale version of itself somewhere else. Two records for one company is a housekeeping job — one we now warn you about, find, and fix. Five systems each holding a different version of that company is a structural problem, and that one we really have removed.

The first thing it found wasn't a duplicate.

The first time this was pointed at a live client workspace, it flagged two unconnected people holding the same email address. Not one person entered twice — a wrong address on one of the records. Corrected the same day. Nobody had known, and nothing else would have told them.
